There are two ways into a project: people you add, and people with the link. Add your team and your clients by email; use the share link for everyone else who only needs to point at things.
Who can do what
| Who | How they get in | What they can do |
|---|---|---|
| Owner | Created the workspace | Everything, including billing. |
| Admin | Added by the owner | Everything but billing: people, links, projects. |
| Member | Added: your team | Statuses, priorities, resolving; sees browser details, logs and the member list. |
| Client | Added: your customer | Comments and moves cards like a member, on the projects you choose. Never sees your team’s internals. |
| Commenter | Share link set to Commenter | Leaves comments with a name and an email; edits and deletes their own. |
| Viewer | Share link set to Viewer | Sees the pins and comments. Changes nothing. |
Owner, admins and members use seats. Clients and link guests never do, on any plan. The Free plan includes the owner and two clients; team roles come with a paid plan.
The share link
In a project, open Share. The link access sets what anyone holding the link can do:
| Setting | Means |
|---|---|
| Viewer | Anyone with the link can see the comments, on the site and on the board. They cannot change anything. |
| Commenter | Anyone with the link can leave comments on the site with just a name and email, no account. The board stays read-only for them. |
| Restricted | Only people added to the project can open it. |
A link never adds anyone to your workspace. The Share dialog lists the people who used it under People on the link, where you can add one as a client or member, or block them.
Invite people
A client
Invite them by email as a Clientand choose the projects they can see. They get an email, sign in, and land on those projects only. They can comment, reply and move cards, but they never see the browser details, logs, export or your workspace's member list.
Someone on your team
Invite them as a Member or Admin (paid plans). Each takes a seat; add seats any time from the Billing page.
Join requests
Someone using the share link while signed in can ask to join. You get an email and a notification, and answer it in the Share dialog or in Workspace settings: approve them as a client or a member, or decline.
